A road-trip car budget should include energy, tolls, parking, lodging-related vehicle fees, maintenance due because of the trip, and a contingency for disruption. Fuel is only the most visible line. Start with route distance and your vehicle's observed consumption, then run a range for detours, traffic, weather, cargo, and price changes.
Build the route distance
Map the outbound, return, and local driving separately. Add known side trips and a modest detour range. Verify seasonal closures, ferries, road restrictions, border requirements, and charging or fuel availability from current official sources.
Do not hide optional sightseeing in “unexpected mileage.” The scenic overlook knows what it did.
Estimate energy cost

Add route charges
List tolls, congestion charges, permits, ferries, parking, valet, hotel parking, and border or road-use fees. Check payment methods and rental or transponder rules. Local laws and rates change, so use current official sources near departure.
Assign maintenance correctly
Check whether the trip will cross a scheduled-service threshold. If work would be due regardless, do not charge the entire cost to vacation; allocate it transparently. A pre-trip inspection prompted by current condition may belong in the trip budget.
Complete the monthly safety check and follow the exact manual. Maintenance cannot guarantee against breakdowns.
Price alternative transportation honestly
Compare the car with rail, flight, rental, or other options using the same travelers, baggage, local movement, parking, time, and cancellation terms. For your own car, include wear and possible depreciation only if you have a defensible method; label it separately from cash spent during the trip.
